How to create a new authorised value

This document outlines the general steps for creating a new authorised value. Depending on the specific authorised value being created there may be slight variations, but these are the fundamental steps all authorized values are structured with.

Go to Koha administration > Basic parameters > Authorized values.



This will take you to a new page with a table of authorised values on your site.

There are a large number of authorised value categories which come by default on the system as well as any custom ones that can be added by staff members. In order to add a new authorised value the specific category will need to be identified on this table.

If there is any problem identifying the correct authorised value category to add the new value to, please contact Interleaf Technology directly.
The table is sorted alphabetically by category by default but it is also possible to search for a specific value using the search box at the top of the table.
This will narrow the table down to only the results which include the phrase that was searched for.

Click the name of the authorised value category a new entry should be created for to see a full list of the authorised values that already exist for the category.


Click + New authorized value for LOST button to create a new authorised value for the category of the list.

This will bring you to a form to fill out to create a new authorised value.


Complete form 

Category

This is the authorised value category that the individual authorised value is being created for. It is not possible or necessary to edit this field but it is useful to check it before adding a new value to confirm that the new field is being added under the correct heading. 


Authorised value

This is a unique code to represent the authorised value and the format should be similar to the codes already defined in the table. For example, if the collection code already defined take the format of FIC, for Fiction, then the other values should generally be three figures for the start of the word.


Description

This is the name of the value as it will appear for staff members. 


Description(OPAC)

This is the name of the value as it will appear on the OPAC. 


Library limitation

This allows the collection code to be restricted to one or more branches. If this is left on All libraries there will be no limitation on the code and will be available to be applied by all branches.



To select a single specific branch to confine the value to click the name from the list.
 
To select multiple branches, click one branch and hold down the Ctrl key on the keyboard while selecting other branches from the box. 


Choose an icon

This allows an image to be associated with the collection code and will appear on items where the collection has been applied.

 

Hit Save.


The new authorised value will appear on the list and anywhere the authorised value category is linked to.
