Adding a new item record to an already existing bibliographic record

Adding a new item record to an already existing bibliographic record

It is possible to add a new item to an already existing bibliographic record. Unlike when adding a catalogue record from scratch, which involves creating both  a bibliographic record for title information and then associated item records for the number of copies that are in the physical collection, this process involves finding an already existing bibliographic record and then attaching a new item record to it.

Step 1 - Navigate to the existing bibliographic record

Go to the search bar at the top of the home page and click Search the catalogue tab.

Search for the bibliographic record you want to add the new item record to. Some options for this are to search for the title or the isbn or a barcode for an item record that already exists on the bibliographic record.

Click Submit and you will either be brought directly into the record you want to edit or to a list of titles that might match the search you completed.

If you are brought to a list of titles the screen will look something like this:

Click the title of the specific record you want to edit to be brought to the record details page.

The record details page:

Step 2 - Edit the record

Click the Edit button at the top of the record and a dropdown menu will open out.

Click the Edit items option on the dropdown menu.

On the new page, scroll down to the Add item form. Fill out the add item form for the copy you have in front of you and click Add item.

If you have multiple new copies to add to the bibliographic record, it is possible to add these in batch. For more information, please see our Help Centre.
