How to batch delete GONE borrowers using the reports module



This document will outline how to delete GONE borrowers from Scooter.

Run the Borrowers requiring manual deletion report.

Go to Reports > Guided reports click Use saved and you will be brought to a new page with a table of all the reports currently on your system.


Use the search box at the top of the table to search for Borrowers requiring manual deletion. This will narrow the table down to a report of the same name.

Notes
If you are not sure which report to select or if the Borrowers requiring manual deletion report is not showing at all, please contact Interleaf Technology directly.
Click Run under the Actions column.


This report will show you all the GONE students on your site.

Go to Download at the top of the results and select Semicolon separated text (.csv).
This will download the results to your device. Open the file on your device and make sure the "cardnumber" column is appearing.

Load cardnumbers to Patron Lists

Go to Patrons > Patron lists > + New patron list.

This will bring you to a new page where you can create the new patron list.

Create a new list with the name Gone borrowers 20XX, where "XX" is the year number and mark it as Shared. Click Save.

This will bring you to a new page where you can add new patrons to the list.

Under Add patrons, click + Add multiple patrons.

This will open new options for adding patrons to list, including an empty box where you can add multiple numbers at once. 

Copy and paste the cardnumbers from the report results you downloaded previously into the box and click Submit.

Warning
Each list should contain a maximum of 100 patrons. If there are more than 100 students to be deleted, create new patron lists for each batch of 100.

Navigate back to the List page and identify the list you just made.

Click the Actions button to the right hand side to get a dropdown menu and click Batch delete patrons

This will take you to a new page where you will get a report on the number of patrons that will be deleted. At that point you can choose to delete the patrons if you're confident with the results.

Any student accounts remaining have either fines or items checked out and these will need to be removed before the accounts can be deleted.
